PPMdesk
Moving from spreadsheets

Still running maintenance on spreadsheets? Bring them in as they are.

If your PPM spreadsheet is the schedule, your jobs live in an inbox and your certificates in a shared folder, PPMdesk replaces all three. Upload the spreadsheets you already have, with whatever column headings they use, and PPMdesk works out which column is which, shows you what it will add, and brings in your clients, sites, contacts and units. Or send them to us and we do it, free.

Signs the spreadsheet has stopped working

You find out a visit was missed when the client tells you. Two people have different copies of the schedule. Nobody can say which units are due an F-gas check this month. Finished jobs wait weeks to be invoiced because the job sheet is in someone's van. If any of those sound familiar, the spreadsheet is costing more than it saves.

How the move works

  1. 1
    Gather what you have
Client and site lists, asset lists, your PPM schedule and your parts price list. Excel or CSV, any layout, any column headings.
  2. 2
Upload them, or send them to us
Upload each file in the setup checklist, or email them to us and we do the import for you, free.
  3. 3
    Check before anything is added
PPMdesk shows what it will create and what it matched to records you already have. Nothing is added until you say import.
  4. 4
    Set up your planned maintenance
We rebuild your PPM schedule as plans in PPMdesk with you: each site's visits, frequencies and units.
  5. 5
    Start working from it
New jobs go into PPMdesk, engineers get their jobs as links on their phones, and the old spreadsheets become your archive.

What we import

Upload them yourself or send them to us. Either way you see what will be added before anything is, and nothing is created twice: clients are matched by name, sites by client and name, and units by asset tag.

Clients and sites
Every client with its sites, addresses and postcodes, from one sheet or several.
Site contacts
Names, emails and phone numbers, filed against the right client and site.
Units and assets
Make, model, serial number, location, install date, warranty, and for air conditioning the refrigerant and charge, ready for F-gas leak checks.
Parts price list
Your parts and materials with codes, costs, suppliers and markup.
Clients from Xero
If your clients are already in Xero, connect it and bring them across from there instead.

What we set up with you

These are where your way of working lives, so they are set up with you rather than imported line by line.

PPM schedules
Rebuilt from your schedule spreadsheet: each site's visits, frequencies and the units each visit covers.
Subcontractors
Your subcontractors with their trades, rates, insurance and accreditations, with expiry dates tracked.
Job sheets and RAMS
Job sheet templates per type of unit, and RAMS templates per trade.
Your team
Office users invited, mailboxes connected to Outlook, and engineers sent their first job links.

What does not move

Better to know now than on go-live day.

  • Past jobs and their history. Keep your spreadsheets and folders as the archive; PPMdesk starts from your open work.
  • Stock and van stock levels. PPMdesk has no stock control, so there is nowhere to put them.

If you need SFG20 schedules, stock control or an accounts package other than Xero, read the category guide before you choose. If you have not written your schedule down yet, start with how to build a PPM schedule, which has a free template.

Moving from spreadsheets: FAQs

Do my spreadsheet columns need to match a template?

No. Upload the spreadsheet with whatever headings it has. PPMdesk works out which column holds the client, site, postcode, make, model, serial number and so on, and shows you the result to check before anything is imported.

Will importing create duplicates?

No. Clients are matched by name, sites by client and site name, and units by asset tag, so importing a file twice, or a file that overlaps what you already have, does not create the same record twice. The check before import shows what was matched.

How big can the spreadsheet be?

Up to 10 MB and 5,000 rows per file. Split anything larger into several files, or send it to us and we will import it for you.

Can I import my PPM schedule?

Your PPM schedule is set up as plans rather than imported row by row, because a schedule spreadsheet can be laid out in many different ways. We rebuild it with you from your spreadsheet, free.

Is importing free?

Yes. You can import your spreadsheets yourself, or send them to us and we do it at no charge. PPMdesk is £49 per office user per month, with engineers and subcontractors free.
