PPMdesk
Reactive maintenance

Reactive maintenance scheduling software
that books call-outs before the SLA slips.

A leak at 7am, a fire panel fault at noon, three more emails by lunchtime. The cost of reactive work is the job nobody booked, the attend-by time that passed, and the visit that was never written up so never invoiced. PPMdesk is reactive maintenance scheduling software that tracks every call-out against its response time and shows what each one is waiting for.

The schedule board with engineers, subcontractors and jobs to book
Who should go?

The right engineer, with the reasons

For each job PPMdesk ranks your own engineers and your subcontractors: right trade, certificates in date, distance from site and gaps in the diary. Anyone it didn't suggest shows why ("F-gas certificate expired", "booked all day") so you can still choose them, knowingly.

Response times

Attend-by times you can see, before they are missed

Each priority has an attend-by time. Today's list puts jobs at risk at the top, alongside visits with no update, jobs back from hold and visits past due. The job page shows each step, who does it, booked, RAMS, on site, done, ready to invoice, and what it is waiting for.

Reactive maintenance FAQs

What is reactive maintenance?

Maintenance done in response to a fault or a request, such as a leak, a breakdown or an alarm, as opposed to planned preventive maintenance done on a schedule. Contracts usually set an attend-by or response time for each priority.

Can clients report jobs themselves?

Yes. They can email as they do now and PPMdesk drafts the job, or report a fault on their client portal, which also arrives as a draft to approve.

Can we use our own engineers and subcontractors?

Yes, side by side. Your engineers record Arrived and Finished; subcontractors accept the job and name who is going. Both use the same job sheet.
