How much does job management software cost in the UK?

Published prices start at £49 per user per month, but the per-user price is not what decides your bill. Who counts as a user does. If your engineers need a licence, a firm with 2 office staff and 8 engineers pays for 10 users; if only office users are charged, it pays for 2.

Below are yearly totals at three firm sizes, worked out from what each vendor publishes. We build PPMdesk, which only charges for office users, so this comparison suits us; the caveats under each price are there so you can check it.

How each figure was worked out

PPMdesk(that’s us)

£49 per office user per month, billed monthly or yearly. Engineers and subcontractors free. Every feature included.

Note: Text messages are paid as you go on top.

Standard plan from £49 per user per month, billed annually. Field engineers count as users.

Note: A floor, not a quote: PPM contracts start on the Premium plan, which is quote only, and SFG20 and the customer portal cost extra. Most customers sign for 24 or 36 months.

Last published Standard price, £79.95 per licence per month, before BigChange moved to quote only in June 2026.

Note: Assumes every office and mobile user needs a licence; ask BigChange how each is licensed. Vehicle tracking is sold per vehicle on top.

From £89.95 per licence per month on software listings.

Note: Assumes every user needs a licence; modules are priced separately.

Quote only, per user per month.

Note: No published price, so no figure. Digital forms and data feeds are paid additions.

Quote only, per licence, on a 12-month contract.

Note: No published price, so no figure.

What actually drives the cost

Ask about all six before you compare quotes.

Who counts as a user
The biggest single difference. If engineers need a licence, a firm with 2 office staff and 8 engineers pays for 10 users; if only office users are charged, it pays for 2.
Which plan includes PPM
Planned maintenance is the core of contract work, but some products put PPM on a higher, quote-only plan. A headline price for a plan without PPM is not the price you will pay.
Contract length
From monthly to 36 months. A long term fixes the price but also fixes you in; check the renewal uplift and notice period.
Add-ons
SFG20 schedules, customer and subcontractor portals, vehicle tracking, digital forms and integrations are often extra. Ask which of your must-haves are in the quoted plan.
Setup and onboarding
Some vendors charge for setup and data migration, sized by project. Ask for it in writing alongside the licence cost.
Usage charges
Text messages, extra storage and API calls can be billed by use. Usually small, but ask.

The cheapest is not always the right one

PPMdesk is the lowest figure in every column because engineers are free, but it does not do everything. It has no SFG20 library, no stock control, no vehicle tracking, and Xero is its only accounts package. If you need those, a higher bill from a product that has them is the better buy. Job management software cost: FAQs

How much does job management software cost in the UK?

Published prices start at £49 per user per month (PPMdesk and Joblogic's Standard plan), with Arez listed from £89.95 per licence and BigChange last published at £79.95 per licence before it moved to quote only. Simpro and Commusoft publish no prices. What a firm actually pays depends most on whether engineers need a licence, which plan includes PPM, and contract length.

Do I have to pay for my engineers?

With most products, yes: Joblogic counts field engineers as users, and BigChange, Arez and Commusoft price per licence. PPMdesk charges only for office users; engineers and subcontractors work from a link in their phone's browser at no cost.

What is the cheapest job management software for a small maintenance contractor?

For a firm with one office user and four engineers, PPMdesk costs £588 a year, because only the office user is charged. Joblogic's Standard plan would be £2,940 a year for the same five users, before adding PPM, which needs its quote-only Premium plan.

Are there setup fees?

Some vendors charge for setup and onboarding, sized by project; Joblogic says smaller customers may self-serve at no extra cost. PPMdesk has no setup fee, and moving your data from Joblogic or another system is free.
